4. Role as a Data Intermediary (Processor)
For personal data collected through your deployed chatbot instance (e.g., visitor leads), Nexa Logic Pte. Ltd. acts as a Data Intermediary (Processor) on behalf of the Customer.

Lead Data Storage:
All end-user (visitor) data collected through the chatbot is stored on the Customer’s own systems (e.g., WordPress database). Nexa Logic Pte. Ltd. does not access, use, or store such data for its own purposes.

Limited Processing:
We may process limited technical data (such as API requests, logs, or error data) strictly for the purpose of operating, maintaining, and improving the Service. Such data does not include customer lead content unless required for support.

Support and Maintenance:
We may access customer data only when explicitly requested by the Customer for troubleshooting, support, or technical assistance.

Customer Responsibility:
The Customer acts as the Data Controller and is responsible for ensuring compliance with applicable data protection laws, including providing appropriate notices and obtaining necessary consents from end users.

Security, Spam Prevention, and Functional Tokens:
To help protect deployed chatbots from spam, bots, and unauthorized submissions, the Service includes security and abuse-prevention mechanisms such as request validation, rate limiting, and functional security tokens. These measures may utilize technical information, including visitor IP addresses, on the Customer’s website solely for security and operational purposes. These security measures do not track visitors across other websites and are not used for advertising or marketing purposes.

5. Disclosure of Personal Data
We may share your personal data with trusted third-party service providers, including:

  • Hosting and infrastructure providers
  • Payment processors (e.g., Stripe): We use Stripe to process payments. To provide a faster checkout experience, Stripe may utilize the Google Places API for address autocomplete. By using this feature, you acknowledge that your address information is handled in accordance with Google’s Terms of Service and Privacy Policy.
  • Email, analytics, or support tools
  • Artificial Intelligence (AI) Providers: We utilize secure third-party AI services (such as OpenAI) for optional administrative tools, including the AI Question Flow Generator. When you choose to use these features, the information you provide is transmitted securely to the selected AI provider solely for the purpose of generating the requested output. These providers process information in accordance with their own privacy and data handling policies, which state that data submitted via enterprise API endpoints is generally not utilized for global model training. We do not use this information to train our own models, and customers are encouraged to review the respective AI provider’s policies directly for the most up-to-date information.

These service providers are required to protect your personal data and may only use it to perform services on our behalf.

6. Data Retention
We retain personal data only for as long as necessary to fulfill the purposes for which it was collected, or as required by applicable laws and regulations. Where legally permissible, personal data is deleted or anonymized when no longer required for operational, legal, or support purposes.

8. Withdrawal of Consent
You may withdraw your consent for the collection, use, or disclosure of your personal data at any time by contacting us. Upon withdrawal, we may no longer be able to provide certain services.

We implement reasonable administrative, technical, and physical security measures to protect your personal data from unauthorized access, disclosure, alteration, or loss.
